What was the process before Penciled?

Most clinics relied on WebPT’s built-in reminder system. But WebPT reminder plans have strict monthly caps — and every text beyond that limit triggers expensive overage fees. Worse, when patients replied to those reminders, their messages never reached the front office. Staff had no way to see if a patient confirmed or canceled unless they called directly.

As a result, many clinics stopped using WebPT reminders altogether. Instead, front offices were manually sending reminders through tools like Weave or by calling each patient one by one. If a patient said they couldn’t make it, staff had to process any cancellation fees, reschedule that patient, and then find another to fill the open slot — all by hand. It was time-consuming, error-prone, and unsustainable.

When a reminder is sent, patients can reply “yes” or “no.” If they confirm, the attendance is recorded automatically. If they say “no,” Penciled checks whether the clinic’s cancellation window and fee policy apply, processes any fees, records the cancellation reason directly in WebPT, and immediately notifies the waitlist system to fill the newly opened slot.

This all happens without manual intervention, ensuring every appointment is either confirmed, rescheduled, or replaced — automatically.
