Historically, we have had trouble with our front desk calling our waitlist to fill late cancellations. Which is why I looked into Penciled in the first place. Penciled has a truly automated product that will text and fill these gaps the second they cancel. There are also a ton of other scheduling features that they have rolled out in the past few months which has decreased the workload for our front desk and increased our productivity. Since beginning with their team about 6 months ago, they have rolled out a lot more functionality that has improved our volume by about 8-12% in any given month. The prices are very reasonable and they are making modifications to the product based on our feedback. The speed in which these guys are rolling out updates (as a Gen X'er) blows my mind! I don't get a kick back just legitimately trying to help a small tech startup that I absolutely believe in that has helped us. Just check it out, these guys are seriously great! The only downside is that right now it only integrates with WebPT.

How are patients added to the waitlist?Waitlist

There are four ways patients can join the waitlist. First, when patients are initially prompted to schedule their plan of care, they can opt into the waitlist for any visits that don’t have available times available to them. Or, patients can simply reply to any text received from Penciled and ask to join the waitlist or update their waitlist status. Additionally, if the front office has printed out the waitlist QR code, patients can scan that QR code and join the waitlist. Lastly, the front office can add patients to the waitlist at any time.
My therapists write “2–3 times per week” in the “Other” field in WebPT. How will Penciled schedule?Plan of Care
